Privacy notice
This notice explains how [Verentis Ltd, company number ______, registered office ______] ("Verentis", "we") uses personal data. It covers two groups of people: visitors to verentis.ai who contact us, and professionals whose business details are processed by our product on behalf of our customers.
1. Website visitors and enquiries
When you request a working session we collect your name, work email, company, role and any message you send. We use these details only to respond to your request and arrange the session. Our lawful basis is legitimate interests (responding to a business enquiry you made). We keep enquiry records for [24 months] after our last contact, unless you become a customer.
We use cookieless, privacy-preserving analytics to understand aggregate site traffic. We do not use advertising cookies or cross-site tracking. See our cookie notice.
2. People in our product
Our customers use Verentis to identify the people inside organisations who are relevant to a specific business use case. For that processing, our customer is the controller and Verentis acts as their processor, except where stated otherwise in our customer terms.
What we process
- Name, job title, employer and professional role.
- Business contact details (for example a work email address).
- Links to professional public profiles and publications.
- The source and date of each item, and a note of why it is relevant.
We do not process special category data, home addresses, or personal social media.
Where it comes from
Company websites, public registries and filings (such as Companies House), job postings, conference and event agendas, published articles and professional profiles, and business data providers our customers connect under their own agreements. We do not scrape LinkedIn.
Why, and on what basis
To help a business decide whether its product is relevant to your organisation and to contact the right person in a relevant, proportionate way. The lawful basis is legitimate interests. Customers are required to complete their own legitimate interests assessment.
Your rights
You can ask for access to, correction of, or erasure of your data, and you can object at any time. If you object, we add you to a suppression list so you are not contacted again through Verentis. Emailprivacy@verentis.ai. You can also complain to the Information Commissioner's Office (ico.org.uk).
3. Sharing, transfers and security
We use carefully selected sub-processors for hosting, email and AI processing [list to be published]. Where data leaves the UK or EEA, we rely on adequacy regulations or standard contractual clauses. Data is encrypted in transit and at rest, and access is restricted on a least-privilege basis.
4. Retention
Product records that are not used are deleted after [12 months]. Suppression records are kept for as long as needed to honour your objection.
